Announcement of the election to the Senate of the TU Wien (Technische Universität Wien, Vienna, Austria)
For the term of office from October 1, 2025 to September 30, 2028, the following are to be elected to the Senate of TU Wien
- 13 representatives and their substitute members of the university professors and the heads of organizational units with research and teaching responsibilities or responsibilities for the development and exploration of the arts and the teaching of the arts who are not university professors (group of persons pursuant to § 25 para. 4 no. 1 UG)
- 6 representatives and their substitute members of the university lecturers and scientific and artistic staff involved in research, art and teaching (group of persons pursuant to § 25 para. 4 no. 2 UG)
- 1 representative and their substitute members of the general university staff (group of persons pursuant to § 25 para. 4 no. 3 UG)
Note: 6 student representatives and their substitute members (group of persons according to § 25 para. 4 no. 4 UG) are to be delegated in accordance with § 32 para. 1 HSG 2014 in conjunction with § 25 para. 4 no. 4 UG and the HTU statutes.
A. DATE, PERIOD AND PLACE OF THE ELECTION
Election day: Tuesday, May 27, 2025
Time: from 09:00 to 15:00
Place of election:
Festsaal TU Wien, main building Karlsplatz 13, staircase 1, 1st floor
- for the group of persons according to § 25 para. 4 no. 1 UG: university professors and heads of organizational units with research and teaching responsibilities or responsibilities for the development and exploration of the arts and the teaching of the arts who are not university professors
- for the group of persons pursuant to § 25 para. 4 no. 3 UG: general university staff
Boeckl-Saal TU Wien, main building Karlsplatz 13, staircase 1, 1st floor
- for the group of persons pursuant to § 25 para. 4 no. 2 UG: university lecturers as well as scientific and artistic staff involved in research, art and teaching
Note: Votes can only be validly cast for approved nominations. Persons entitled to vote must prove their identity to the election officer at the beginning of the election process.
B. CUT-OFF DATE FOR ACTIVE AND PASSIVE ELIGIBILITY TO VOTE
The cut-off date is March 18, 2025.
All persons who belong to the respective group of persons pursuant to § 25 Para. 4 no. 1 to no. 3 on the cut-off date and who have passed their 16th birthday are entitled to vote. Members of the rectorate are excluded.
All persons who belong to the respective group of persons pursuant to § 25 Para. 4 no. 1 to no. 3 on the cut-off date and have passed their 18th birthday are entitled to be part of election proposal lists. Members of the rectorate are excluded.
Note: In accordance with section 2.2. para. 3 of the Senate and Faculty Council Election Regulations, (substitute) membership of the Senate is suspended during the exercise of a function as Dean or Dean of Studies.
C. INSPECTION OF THE REGISTERS OF PERSONS ENTITLED TO VOTE
DEADLINE: March 24 to 28, 2025

- Tuesday March 25, 2025 from 13:00 to 16:00

- Thursday March 27, 2025 from 14:00 to 17:00
- Friday March 28, 2025 from 10:00 to 14:00
Note: The available registers of eligible voters contain the staff number, first and last name, date of birth, title, level of employment, organizational unit and group of persons. A valid ID card or the TU Card must be presented in order to view the registers.
D. OBJECTIONS AGAINST THE REGISTERS OF VOTERS
DEADLINE: March 24 to April 7, 2025
Any person entitled to vote may lodge an objection in writing in the event of any errors in the registers of eligible voters from March 24, 2025 to April 7, 2025. The competent election commission must decide on the objection within two working days of the expiry of the objection period (by April 9, 2025).

a. by e-mail to wahlkommissionen@tuwien.ac.at or
b. by internal mail to the office of the Senate of TU WIEN.
Objections must be received by April 7, 2025 (as described under point D. a. or b.).
E. SUBMISSION OF ELECTION PROPOSALS
DEADLINE: from announcement until April 8, 2025
Any person entitled to vote may submit election proposals.
Place and period:
The submission of election proposals for all groups of persons pursuant to § 25 para. 4 no. 1, no. 2 and no. 3 UG can be submitted with the subject "Election proposal" to the attention of the chairman of the respective election commission (no. 1: Univ.Prof. Peter BAUER; no. 2: Senior Scientist Dipl.-Ing. Dr.techn. Ulrich PONT; no. 3: Amtsdir. Günter Bernhard STEININGER)
a. by e-mail to wahlkommissionen@tuwien.ac.at with the subject "Election proposal", enclosing scans of the original of the duly completed and signed election proposal and the declarations of consent of the candidates listed thereon as well as any further documents, or
b. by internal mail to the chairperson of the respective election commission or to the office of the Senate or
c. in person at the Senate office or in person to the chairperson of the respective election commission
The election proposals must be received in writing by the respective chairperson of the election commission (as described under point E. a., b. and c.) until April 8, 2025. Otherwise, the corresponding election proposal will be rejected.
Each election proposal must name an authorized recipient. Correspondence shall be sent exclusively to the authorized recipient. Each election proposal must contain the written declaration of consent of all candidates listed on it. If declarations of consent are missing, this must be justified. In any case, missing declarations of consent must be submitted by the end of the submission period at the latest. If these are still missing after the submission deadline, the election proposal must be deferred for improvement. Candidacy on more than one nomination is not permitted.

Note: The list of candidates as part of the nominations for the representatives to be elected for the above-mentioned groups of persons no. 1 to no. 3 is drawn up according to the zipper system, i.e. a woman and a man must be listed alternately, with the proportion of women being at least 50%. This applies to the entire list. A deviation from this is only possible with objectively justified reasons. Each nomination must be accompanied by a declaration from the Arbeitskreis für Gleichbehandlungsfragen (AKG) confirming the correctness of the composition.
The election commission must examine the election proposals submitted in due time and return any concerns or objections to the person authorized to deliver the election proposals immediately, at the latest within 2 working days after the submission deadline (8 April 2025), with the request to improve (until 10 April 2025). If an improvement order is not complied within due time (receipt of the improved election proposals by April 15, 2025), the corresponding election proposal will not be considered.
F. INSPECTION OF THE ADMITTED ELECTION PROPOSALS

G. APPLICATION FOR A POLLING CARD (POSTAL VOTE)
As an alternative to voting in a conventional face-to-face election before the respective electoral commission, eligible voters can exercise their right to vote by means of a voting card (postal vote).
Deadline: April 1 to May 6, 2025
Place and period:
a. by e-mail from the person entitled to vote to the address wahlkommissionen@tuwien.ac.at, enclosing
a copy of an official photo ID (passport, driver's license, identity card) or
b. by registered letter (to be received by May 6, 2025 at the latest), enclosing a
copy of an official photo ID (passport, driving license, identity card) of the person entitled to vote
to the office of the Senate of TU WIEN or to the following PO box:

c. or in person by the person entitled to vote at the Senate office upon presentation of an identity document (passport, driver's license, identity card)
or by an authorized person by attaching a
written power of attorney (signed by both persons) and a copy of an official
photo ID (passport, driving license, identity card) of the person entitled to vote at the office of the Senate of TU WIEN, 1040 Vienna, Karlsplatz 13, 1st floor, room AD0111:
- Monday April 28, 2025 from 09:00 to 12:00
- Tuesday April 29, 2025 from 13:00 to 17:00
- Wednesday April 30, 2025 from 10:00 to 14:00
Note: When submitting the application, the person entitled to vote or the person authorized by him/her must indicate whether the person entitled to vote wishes to collect the postal voting documents in person (if necessary by an authorized person) or to have it sent by post to the delivery address to be indicated by the person entitled to vote.
H. PLACE AND TIME FOR COLLECTING A POLLING CARD IN PERSON (POSTAL VOTE)
DEADLINE: by May 26, at the latest

If you wish to receive your voting documents in person or by proxy, they will be available at the office of the Senate of TU WIEN, 1040 Vienna, Karlsplatz 13, 1st floor, room AD0111, at the following times:
- Tuesday May 20, 2025 from 09:00 to 12:00
- Wednesday May 21, 2025 from 13:00 to 16:00
- Thursday May 22, 2025 from 10:00 to 13:00
- Friday May 23, 2025 from 10:00 to 13:00
- Monday May 26, 2025 from 09:00 to 12:00
Note: Duplicates of lost polling cards (postal voting documents) may not be issued. Unusable polling cards (postal voting documents) that have not yet been sealed can be returned and reissued subject to the above-mentioned deadlines for applying for an polling card (see point G. of this announcement).
I. VOTING BY POLLING CARD (POSTAL VOTE)
1. by postal vote from within Austria or abroad, upon receipt of the polling card:
a) Fill in the ballot paper.
b) Place the ballot paper in the ballot paper envelope and seal it.
c) Sign the declaration on oath with your own handwritten signature.
d) Place the sealed ballot paper envelope and the declaration on oath in the polling card.
e) Seal the polling card.
f) Place the absentee ballot in the envelope to be sent by post.
g) Make sure that the absentee ballot
i. arrives at the office of the Senate of TU WIEN, 1040 Vienna, Karlsplatz 13, 1st floor, room AD0111, by 3:00 p.m. on election day, May 27, 2025, at the latest, or
ii. is received at the latest on election day, May 27, 2025, by 3:00 p.m. at the following post office box P.O. Box 28, 1040 Vienna
iii. or during the opening hours stated under point H. of this announcement or at the latest on
election day, 9:00 am to 3:00 pm, at the office of the Senate of TU WIEN, 1040 Vienna, Karlsplatz 13, 1st floor, room AD0111, in person or by a messenger.

2. before a competent electoral commission on election day:
Even when applying for an absentee ballot, it is permissible to vote in person before the competent electoral commission (see point A. of the election notice) if the person entitled to vote has not already cast his/her vote by postal vote and brings the absentee ballot and the blank ballot paper with him/her to the electoral commission.
Note: After handing over these documents to the electoral commission, the person entitled to vote must cast their vote in accordance with the provisions for voting in person (see point 2.8. of the election regulations). Follow the instructions of the electoral commission and only fill in the ballot paper in the designated voting booth.
