With the advance of digitalisation, it is becoming increasingly important to properly capture, store and manage documents and information. Professional records management not only promotes transparency and legal certainty, but also improves the efficiency of internal processes. According to the ISO 15489 standard, authentic, integral and usable records are crucial to the success of any organisation.

Project process

  1.  Needs assessment: Survey of current documentation and filing practices at TU Wien by the middle of the second quarter of 2025
  2. Creation of a file plan by the end of the second quarter
  3. Development of guidelines: Creation of standards and guidelines for records management by the end of the second quarter of 2025
  4. System selection: Selection and implementation of suitable document management tools in the third quarter of 2025
  5. Training: Training employees in the use of the new guidelines and systems, ongoing from the first quarter of 2026
  6. Monitoring and adjustment: Establishing a continuous improvement process to adapt the system to changing needs, ongoing.
